Productivity and performance can be a total game changer. We all have the same 24 hours in a day but some people seem to get more accomplished than others and others say, “I don’t get it. How do you get to do all that?” The secret lies in the sauce.

DKI_Episode 6 Time_Management_StrategiesBoost productivity and performance is about blocking time. We cannot make more time. We all have the same amount of time but how do we structure the time that we have. How are we using it more effectively?

There are many Time Tracking logs or apps out there. I have used time tracking for those people who claim that they are “so busy” and we hear people use the buzz word “busy”. I do make the attempt to track my time anytime I catch myself saying that I am busy. Busy is that buzz word but it is almost like an excuse for people not doing things. It is actually saying, “I do not want to do that” or “That’s not important to me.”

TMW_PDFclickhere.fwWhen you start tracking your time, you can start seeing where you are spending your time. You can do the same exercise by tracking the amount of water you drink, the workouts you want to have, or anywhere you want to make a change. If you start tracking it, anything that you track you are able to manage better. Start tracking your time for 3-7 days to see where you are actually spending your time and then you can adjust accordingly.

One of the great things I like to recommend to people is scheduling 30 minutes in the morning to start to plan your day and another 30 minutes at the end of the day to review and plan for the next day. You will be forward thinking, you are making the plan, and have an intended direction of where you want your day to go.

Make a list of all your priorities. What are the A-game changers where you are going to have the greatest return on your investment? This is where you need to be focusing your time. Focus on your priorities first.

Set office hours to eliminate distractions and interruptions. It is so easy for people to pop by and say you are working at home today or you don’t have office hours I can just pop in and have a casual chat. If you are in the middle of working on something important that you have a deadline, these interruptions can really suck some of the time that you have. Consider that when you are working on a big project there may be a time of the day where you just need to close your door.

Turn off notifications and email alerts on your smartphone and computer. BING! Every time you see one of those, it is a bright shiny object! BING! BING! BING! Or SQUIRREL – anything that takes you attention to a different place!

Block out time on your calendar to focus on high priority tasks. Block off dedicated time. Use a timer. You would be surprised how much you can accomplish in 20 minutes when you are trying to beat a clock.

Develop a system for managing information such as paper and emails so you only deal with it once if possible. Consider creating folder or filters to help sort emails. Do not hang on to emails that do not require a reply or that you can get the information somewhere else.

Delegate to others who have the knowledge, skills, and ability to get a task done so you can focus on high priority tasks requiring your expertise. I know sometimes we like to be in control and be the boss. If you want to be a smart boss you need to delegate some of that out. If people have the knowledge, skills, and ability, let them do the work that they love to do. You can focus on the work that is a high priority and you can focus on your expertise. Everybody is using their skills more effectively on a team.

Don’t schedule meetings unless they are necessary and they have a targeted agenda. Sometimes I think people throw up meetings just to have a meeting but then they get there, there is no focus or direction and they feel that people are just wasting their time. When they could be focusing on what is really important to them, what has pressing deadlines, and where they are going to get the greatest return on their investment? Ask yourself whether or not you can do a meeting over the phone versus driving to somewhere or taking up a lot of time. Sometimes it can be addressed in an email. Consider how you can respond so you can get to the meat of the matter very quickly.

FOCUS on ONE activity or task until completed…then REWARD yourself and CELEBRATE! It might be a stretch break or getting a coffee or a cup of tea giving you a small reward so you are focused on one activity. “If you spend too much time thinking about a thing, you’ll never get it done.” When you start doing too many things or multi-tasking, it divides your attention.  Put your intention and attention to the place you want to get your results.

Try these 10 things and you will be boosting your productivity and performance and watch what happens to your results.

Time and money seem to slip through people’s fingers and they often wonder why.

We are all are given the same amount of time 1440 minutes in a day, 168 hours in one week.

However, we are not all given the same amount of money.

The biggest difference between money and time is that you can make more money and you cannot make more time. You can choose to do one thing over another to allot time for certain activities.

Now when it comes to your waistline, the more your burn the more you lose! And if you are trying to lose weight that is a good thing!

The ONE strategy that may change your life to TRACKING YOUR TIME, MONEY, and WAISTLINE!

By tracking where your time, money, food intake, and activity, you can discover where the time thieves, money wasters, and waistline stealers need to improve.

Remember to ask yourself- if you had a good time during the process, was it truly a waste?

Make a choice to become more aware of how you spend your time , resources, food and activity.

Time Thieves or Wasters

  • email notifications (binger)
  • Social Media and Checking for Replies (Facebook, Twitter)

  • surfing the net
  • watching too much TV television
  • meetings you could have handled by phone
  • attending meetings that you are not sure why you are there

Money Wasters

  • duplicate services
  • gym memberships (if you are not using it, cancel it)
  • buying things just to buy them
  • eating out every night (can also add to your waistline so be careful)
  • going to the movies twice a week
  • magazine subscriptions you do not read

Waistline Stealers

  • eating desserts
  • skipping breakfast
  • skipping exercise
  • watching TV all night long
  • late night snacking

Awareness is the key to change! Discover your losses by tracking your activities on a time, money, food intake, or exercise log. Write down what you are doing and how long the task takes, what you are spending money on, how much, and what you project your return on investment to be – how does it contribute to your bottom line? Often the activities, tasks, and purchases bought are out of habit. However when wasters are brought into awareness, you will discover where change needs to occur. You will surprised at where you a lot your time, money, and resources. The bottomline…it is all about the choices you make. Do you really want what you say you want?

Simple tricks of the trade to get you back on track:

  • Set up specific times of day when you check your emails.
  • Turn off your email notification alert.
  • Pre-set social media marketing (www.hootsuite.com) and pop in at set times of the day to check your social media – give yourself a time limit as it is easy to get sucked in!
  • You can utilize apps that prevent you from surfing the net or designate a certain amount of time to that activity
  • verify the need for an in-person meeting or the need to attend.
  • Eliminate duplicate services.
  • Cancel subscriptions and memberships that you are not getting value from or utilizing.
  • Create a menu plan and get active.

Imagine how productive and how efficient you will be!What would you do if you had more time to play, had more money, or had tip top shape health and body?  Oh no – there goes a bright shiny object – better pull back on the reins!

How Will Changing Your Habits Change Your Life?

You have heard the saying, “Old habits die hard.” Habits can be hard to change. Many people fear change. They are quite comfortable and happy with keeping things the way they have always been. When even the slightest change is suggested you  may have heard, “We tried that once it never worked.” or “This is the way things have always been.” That’s all fine and dandy but the question I would say to you or anyone who makes these statements, “Are you happy with the RESULTS or OUTCOME you are currently getting?”

Are you happy with the:

  • state of your relationships?
  • the amount of people you are serving?
  • your marketing methods?
  • your Google analytics of your website?
  • amount of free time you currently have?
  • state of your health?
  • amount of money you are making?

If you answered “no” to any of these questions, what would it mean to you to be happy in those areas? What is one habit you could change to start moving towards the outcome you want? Map out a calendar and track the change over a minimum of 21 days. Experts suggest it takes 21 days to change a habit, however, my theory is the longer you can continue it the more likely you will make it a more permanent part of your daily life. Go for one month! Pick one area of your life and change a habit for one month and watch the results compound!

Do you need to:

  • track your finances
  • eliminate time wasters
  • complete your taxes
  • book a vacation
  • follow-up with a client
  • go the gym
  • mend a relationship
  • carve out some “me”time
  • go for a long afternoon lunch with girlfriends
  • write a business proposal
  • write a press release
  • the list could be endless!

Remember if you continue to do what you have always done, you will continue to get the same results. If you want to change the results, you need to change the one thing you know you must do. In Nike fashion, “Just do it!”

What Would the Power of 20 Minutes Do for Your Business or Your Life?

Time is one of those areas that many of us take for granted one day or another. Have you ever tried tracking your time?  I have. Have you ever had some tell you where you could fit in a healthy meal or some exercise? I have. Have you ever challenged yourself to see what you could get done in 20 minutes? I have. Imagine what you could do in twenty minutes.

What would your business be like if you did the following for twenty minutes here or twenty minutes there?

  • Write a blog or an article.
  • Read a book on a subject area you are trying to learn more about.
  • Follow up with 1-2 potential clients.
  • Write out thank you cards.
  • Plan your day for tomorrow or the next day.
  • Spend 20 minutes connecting with your staff or team.
  • Map out a calendar of tweets, blog posts, or Facebook posts.

What would your health be like if you spent twenty minutes focusing on your health?

  • Go for a walk or doing some super sets of weights at lunch time.
  • Plan your meals for the day.
  • Take time to listen to music or read a good book.
  • Sit in a relaxing bath.
  • Call a friend.

What would your relationships look like if you focused on the people you cared most about?

  • Read a bedtime story.
  • Play a game of soccer or allowed your child to take shots on you in goal.
  • Listen to the events of their day.
  • Watch their favorite show with them.
  • Spend time doing what your spouse or partner likes to do.
  • Play a board game.

Twenty minutes here and twenty minutes there adds up quickly and compounded over time can yield amazing results. Empowered engaged teams, better health, and stronger relationships are a few of the outcomes. Think about what you can do in 20 minutes. There is so much you can accomplish. Set a timer for yourself if you are worried. You may enjoy yourself so much and get immerse in what you are doing you may just continue.

Do you want to improve your bottom line in your business? Would you like to improve your health? Do you want to build closer relationships with your family and friends? Get an accountability buddy (aka partner) to hold you accountable for doing something in one area you wish to improve in your life. Watch for the shift that occurs not only in yourself but in others.
