Are You Blocking Your Success Intentionally?

October 24, 2017 by Debra Kasowski Leave a Comment

Do you ever feel that you have more demands on your time than you have ever had before? You are working on getting more done with less time and sometimes things are falling through the cracks impacting your productivity and performance. You need to start guarding your time and treating it as a commodity or treasure. Time is not something you get back. By guarding your time, you can focus on what is important to you. What is your biggest priority right now? Are you spending the majority of your time focused on this area? Each day you should be focused on your priority or what Brian Tracy refers to as “Eat that Frog” – doing the hardest thing first. If you get the hardest thing done first, you will feel accomplished and get many other tasks done. If you only accomplished the one BIG thing, you accomplished a BIG thing and not too beat yourself up.

Keep a Time Log

People are often unaware of where their time goes. Complete a time log for the next 3-5 days. Keep track of where you are spending your time and how long a typical task takes. By track your time, you will identify where time is used purposefully and whether is it wasted. According to Parkinson’s Law explained on Wikipedia, the law is “an adage that work expands so as to fill the time available for its completion.” If you give yourself 20 minutes to file, you will fill the 20 minutes. If you block off 3 hours you will fill up the 3 hours. Blocking time allows you fill the time allotted.

Focus on What IS Important

Time blocking allows you to focus on what is important to you during a specific time frame. Get rid of the to-do list and put the items on the list in your calendar. Suddenly, you make them your commitments. Items you place importance to. Assign tasks to a particular block of time. Be realistic with your time; we often underestimate the amount of time it takes to complete a task. Organize your errands to get things done in one block of time so you can dedicate a big block of time to things that require more of your attention.

Be Intentional with Your Time

At the beginning and end of each day, allow for 15-20 minutes of planning and reflection time. If you are always going from one task to the next, you are missing out on having time to vision where you want to be and the lifestyle you want. Block off the time you want off for long weekends or summer or family vacations. When you do some forward planning, you can create the lifestyle you want and work towards a goal. Email tends to be something we react to because it is usually what others want from us versus what we need from them. Block off time to attend to emails. Communicate your business hours. People often think because you work from home you must not be working and if you are you have the flexibility to run errands and take care of extra requests. You may even put in your email messaging that you check email at certain times of the day and if you are required outside of these times that a person should phone. You may also consider blocking off your hardest work for when you feel you do your best work – morning, afternoon, or evening. Don’t forget to block off leisure time too, otherwise, it tends to be pushed to the side.

Put Your Oxygen Mask on First

Remember the safety advice announced at the beginning of your flight – put your own oxygen mask on first. You cannot help other people if you are not taking care of you. Schedule in date nights with your spouse/partner and separate ones with each of your children as well as family time. It is more about quality time versus quantity of time. It is too easy to get caught up in over scheduling everyone that you cannot even have one family meal together.

Eliminate Distractions

Turn off your cell phones or shut down your social media apps and email and app notifications. You can easily give away your time surfing the internet or checking out what everyone else on social media is doing. Keep your office space free from clutter and other distractions.

Be careful not to squeeze too much into your day. Be realistic with your SMART goals (specific, measurable, achievable, realistic, and timely). Time expands to what we allow. Allow for some flexibility as we know life happens and we need some time built in to not react but to respond with intention. Keep sticky notes in hand to jot down thoughts and reminders so you can capture fleeting thoughts and get back to them. It is best to capture the idea while it is at the forefront.

Start blocking your time with intention to get to the success you desire versus sabotaging it. It is your time – protect it and use it carefully. Put a dollar value on your time and you may start to value on it even more. Wasted time is wasted money, time, and attention if not used with purpose.

How important are your goals?

FREE Masterclass “How to Organize Your Digital Workspace and Inbox to Power Up Your Productivity, Clarity, and Profits”  bit.ly/digitalcalm

Meet Our Guest:

Sherry Borsheim, founder of Simply Productive, creator of Calm Your Office Chaos and Calm Your Home Chaos online programs.  Her organizing strategies have transformed offices, homes and lives around the globe. In her own organizing journey she’s learned that there’s no cookie-cutter, one-size fits all solution to getting organized and that organizing is not a destination, it’s a journey and here’s why…

Life transitions happen. After being laid off at her corporate job it was her life ticket to pursue her dream of launching an organizing business. In the beginning there were many new systems and processes to be set up and as her business grew and the need to be mobile, she had to update her systems to work smarter, not harder.  Sherry was already highly organized and it was time to take her skills to the next level.

She also learned that what works for her may not work for someone else. Within the first year of business it was clear that paper clutter and filing systems was the #1 issue her clients had both at work and at home. Email and computer file clutter was a close second. Sherry knew from her experience that A to Z filing systems breakdown over time, company year ends create lots of archive boxes and gathering papers for tax time is very stressful for many people. So she set out to find a better solution.

Today, Sherry is the exclusive trainer for the Paper Tiger filing system and developed a certification program of experts. She’s helped 1000’s of businesses and homeowners set up filing and archive systems so they can find files fast and transform spaces faster than you can do it yourself! She also helped people get their Inbox to zero and establish best practices for email overload, records management and time management strategies to take their performance to the next level.

Sherry’s been featured on HGTV Makeover Wish, CKNW Radio and eWomenNetwork Radio. She is in other popular publications like The Huffington Post, Style at Home, BC Business, Staples, Martha Stewart Whole Living, The Globe and Mail, Women’s Health Magazine, Office Depot and The Vancouver Sun and The National Post. Her clients include entrepreneurs, executives, working moms, and her advice, products and training have been sought after by Vancity, Earls Restaurant, CPA Canada, National Research Council, Simon Fraser University, UBC, Western Economic Diversification, Small Business BC, Curves, Grand & Toy, BC Rail, First Nations Communities, Erickson College, HUB International, Mellon Financial, and 1000’s of people globally conquering their clutter.

Sherry is the Founder and Past Chair of Professional Organizers of Canada (BC Chapter), a Certified Professional Coach, and volunteers for Dress Success and church organizations.

“Successful people maintain a positive focus in life no matter what is going on around them. They stay focused on their past successes rather than their past failures, and on the next action steps they need to take to get them closer to the fulfillment of their goals rather than all the other distractions that life presents to them.” – Jack Canfield

Happy 1st Anniversary Episode! Grateful for our listeners and listeners for tuning and sharing this podcast. You are people step into their potential into the skin they are meant to be in!

There are many opportunities to get sidetracked off your game. Your focus can be pulled in one direction by having one of your favorite songs come on the radio, a tragic news story, an invitation to the mall, or the latest gossip around the water cooler. You get distracted by economic times and the latest announcement in the office. It can get more challenging to stay focused and motivated when you get caught up in these distractions.

Internal and external barriers can be get the way too. The internal barriers are all the negative thoughts, past hurts, bad habits, and self-limiting beliefs that sabotage your success. The external barriers can be your social media and the news, environment, economical climate (to an extent), and influences such as family, friends, colleagues. When you learn to focus on your own game, you will push through any challenge or obstacle because you are not going to let it stop you from succeeding.

Get Clear on What It Is You are Wanting to Accomplish. The more focused you are, the clearer your path will be. You will start to make decisions with ease and conviction. There is no time for distractions to get you off your game plan.

Get Your Head in the Game. Your mindset is key. Pay attention to any of the negative thoughts or self-talk you are having – put them to an immediate stop! Cancel! Cancel! Cancel! Reframe! Napoleon Hill once something like you cannot afford a negative thought. You need to speak toward your success. I remember listening to a catchy song from High School Musical that was about getting your head in the game – FOCUS!!! GET YOUR HEAD IN THE GAME! Play baroque tunes for quiet background or some upbeat music when you are decluttering. Visualize your results 2-3 times per day. Let the vision get stronger and stronger.

Eliminate Distractions and Barriers. Take time to identify what distractions and barriers that may be influencing you. Brainstorm ways to eliminate them. You may choose to declutter your office space, eat some prepared meals and wear simple outfits to eliminate time wasted on decision-making efforts. Consider using a Pomodoro method – using a timer to keep you on task with structured break times. Set boundaries of office hours to ensure you are getting work done.

Plan and Prepare for The Big Picture – The END GAME! Start with the end in mind as per the late Stephen Covey. When you can visualize or have a clear idea of your end game, you can work backward and uncover the milestones that need to be reached along the way. Break down each milestone into smaller sections. Make you goals manageable instead of being overwhelmed.

Delegate! Delegate! Delegate! Whenever possible delegate tasks and actions to people who excel in a specific area. You do not need to be spending 6 hours figuring out something that could take a person with the expertise – 20 minutes! Your time is valuable. I know in the beginning you may not be able to delegate much. Start small. By learning everything along the way, you know when things go wrong and you know what points to catch that need to be fixed.

Ask questions and gather new information. Stay up to date gathering the latest information on your subject matter.

Don’t Wait for Perfection. Perfection is an illusion. It is a form of procrastination holding you back from getting what you want. Start by taking action and adjust the course along the way. Continuously evaluate!

Keep you head in the game and don’t let what others say steer you away from your end game! What others share is based on their experience and their fears and successes.

“Stay focused and stay determined. Don’t look to anyone else to be your determination – have self-determination. It will take you very far.”
Justice Smith

Insider Secrets: 7 Habits Successful People Do Before Breakfast

March 14, 2017 by Debra Kasowski Leave a Comment

“Motivation is what gets you started. Habit is what keeps you going.” – Jim Rohn

Are you looking to squeeze more hours out of your day so you can get more done? It may be time to quit hitting the snooze button and change up some of your daily habits. If you ever read about a few successful people out in the world, you will quickly learn that they take a unique approach to every day that the average person does not.

Rise and Shine Early Bird

Although the thought of sleeping in is appealing, you can get a head start on your day if you get up early. You have probably heard the saying that “the early bird catches the worm”. Many successful people have committed and disciplined themselves to get up between four and six o’clock in the morning. They say they gain 2 hours of productivity. You can gain a jump start on your day and get more done than most people do by 8 am. When you get up early, you have an opportunity to get so much more done because your time is your time is focused and free of distractions. You can start your day with a clean slate and a clear head. Use this time to your advantage. Imagine how much more you would get done if you got into the habit of getting up early. It may take some willpower initially but as you continue to do it you may surprise yourself.

Get Your Body Moving

By exercising in the morning, you are not leaving your gym time to chance. Meetings, emails, and phone calls can take up a lot of your time and by the end of the day, you may convince yourself that you are exhausted and all you need is a night crashed on the couch. Get your exercise in early. If you cannot get to a gym, go for a walk, do body weight exercises, or follow along on a yoga app. I use an app called Kettlebells. It even sends me alerts if I haven’t used the app in a few days, “Are your abs getting soft?” Now, that’s motivating! Richard Branson, Barack Obama, and Mark Zuckerberg have been known for getting their exercise routines done in the early morning. They have demanding roles that require them to be at the top of their performance.

Eat a Healthy Breakfast

Contrary to what you might think, a cup of coffee or tea with a piece of toast is not breakfast. Choose to prepare and eat a healthy breakfast to get you fueled for the day. Better yet, get your family involved in preparing the meal so they learn about this important habit. If you are stuck for time, consider making a smoothie or preparing a few items to grab and go.

Scan Your Emails for Urgent Items

Many of the emails you get from people are often about requesting something from you. Learn to quickly scan your emails for items you need from other people to propel your work further. You may even choose to quickly check social media and respond to a few comments before you start doing what needs to get done.

Map Out the Plan for the Day

Don’t look at the to-do list unless you are putting those items in your calendar to plan when you are going to get items on the list done. Whenever possible, attempt to work on the heaviest or biggest items on the list in the first part of your day when you are energized and ready to take on the day. When you plan your day with intention, you will get more done than the average person. Look at who you need to contact and follow up with to move your plans forward. What actions do you need to take to get closer to the outcomes you are looking for?

Visualize Your Outcomes

Some people use the morning quiet time to reflect, pray, or meditate. Closing your eyes and visualizing achieving your desired results is a powerful way to start your day. When you are emotionally connected to what you want to do, you are less likely to procrastinate at going after your goals.

Spend Quality Time with Family and Friends

Successful entrepreneurs and executives know when the day is done there is nothing sweeter than connecting with the people who keep you grounded. I have read articles online about how television host Kelly Ripa uses special time in the mornings to make breakfast and connect with her family, Gwyneth Paltrow chose to only take on one movie a year so she could raise her family. Start your day by setting out the door or retreating to your home office on a high note by creating a positive atmosphere to start the day.

A simple shift in the way you approach these habits could be the one change that accelerates your results. How many of these habits are you already doing? Which one would you like to adopt? Why not challenge yourself to get up early and focus on what you need to get done for the next 21 days?
